CLASS POLICIES
Check-In
If this is your first time visiting the studio, please arrive at least 10 minutes prior to class to complete any necessary paperwork, meet your instructor, and become familiar with our equipment and studio layout.
Late Policy
Clients are expected to arrive on time. If you are running more than 5 minutes late, please contact us via email to hold your spot. If you have not arrived 5 minutes after the start of class and another client is on the waitlist, your spot will be released. Instructors reserve the right to deny entry to late arrivals to maintain class flow and ensure safety.
Reservation & Cancellation Policies
To reserve a spot, clients must have a valid membership or credit package on file. Reservations can be made via the Somos Pilates Nashville app or website.
Cancellations must be made at least 12 hours in advance to avoid losing your credit or incurring a late cancel fee.
Cancellations within 12 hours of class start time will result in the forfeiture of the class credit. For unlimited memberships and Two Week Teaser packages, a $20 late cancel fee will apply.
No-shows will also incur a $20 fee for unlimited and teaser memberships. Private sessions canceled within 12 hours will be fully charged or deducted from your package.
Waitlist Policy
Clients must have a valid credit to join the waitlist. If added from the waitlist into class, the cancellation policy applies.
If a client is not moved off the waitlist, the credit remains in their account for future use.
Medical Concerns & Pregnancy
Entry may be declined for clients with medical conditions, injuries, or those pregnant without physician clearance. In these cases, a private session may be recommended. Prenatal clients must have approval from their healthcare provider to participate in group classes.
MEMBERSHIP TERMS
All Studio Pilates Nashville memberships require a minimum three-month commitment. After the initial term, memberships automatically renew on a month-to-month basis unless canceled with appropriate notice.
To cancel your membership, you must submit a written notice at least 30 days in advance, sent via email to hello@somospilatesnashville.com. A cancellation form is also available on our website for your convenience.
No exceptions will be made for cancellations submitted with less than 30 days’ notice. Your final payment will be processed if notice is not provided within this timeframe. This policy ensures compliance with applicable consumer contract laws and supports fair and consistent membership management.
By enrolling, you authorize Somos Pilates Nashville to charge your account monthly for membership dues and any applicable fees (e.g., late cancellations).
Membership classes/credits DO NOT roll over. All classes must be used within the 30-day billing cycle. No extensions or exceptions.
Failed payments will result in a frozen account and loss of booking privileges until resolved.
Memberships can be frozen for 30 to 90 days per calendar year with a $25 monthly hold fee. Freezes must be requested via email with specific dates.
GUEST PASS TERMS
Members receive 2 Guest Passes per month for friends new to SPN. To book, add them via your account & add their email to confirm their reservation. Late Cancellation policy applies.
RETURNS, EXCHANGES, & REFUNDS
All sales are final. No refunds, no exceptions.
Class credits, memberships, private sessions, and merchandise are non-transferable and non-refundable.
Credits and packages cannot be extended past their expiration date.
Purchases cannot be shared between clients.
LOST & FOUND
Somos Pilates Nashville is not responsible for any lost, stolen, or damaged personal items. Contact us via email for assistance with lost property.
FILMING POLICY
As a courtesy to other clients, we kindly ask you refrain from filming during class time unless express permission is granted by the Instructor and/or fellow class attendees.
LIABILITY WAIVER
By attending classes at Somos Pilates Nashville, I acknowledge that:
Participation is voluntary and at my own risk.
I assume all responsibility for any injury or damages that may occur.
Somos Pilates Nashville, its owners, staff, and agents are not liable for any injury, loss, or damage arising from my participation or use of facilities.
I am in suitable physical condition to participate. If pregnant or with any medical condition, I agree to inform the studio and consult my physician before participating.
I agree to release Somos Pilates Nashville from liability for any issues that arise from failure to disclose such conditions.
I grant permission for Somos Pilates Nashville to photograph or record me during classes or events and use such media for marketing purposes.
TERMS & CONDITIONS
All sessions are 50 minutes in length.
Classes and private sessions are non-transferable, non-refundable, and expire as outlined in the purchased package.
Private sessions require 12-hour cancellation. Failure to cancel will result in a full charge.
Clients are responsible for managing their own reservations and cancellations through the app or website.
Somos Pilates Nashville reserves the right to update policies as needed and communicate changes electronically.
All communication, including notices and updates, will be provided electronically and are considered legally binding.
It is recommended to consult with a physician prior to beginning any exercise program. Any pain or discomfort experienced during class should be addressed by stopping exercise and seeking medical attention.
By participating in services provided by Somos Pilates Nashville, you acknowledge and agree to all of the above terms and conditions.
